SUMMARY

We are looking for a bright and ambitious Festivals & Events Assistant to help support the delivery of Vision Nine’s festivals; NASS and Boardmasters.

The successful candidate will be involved in a variety of tasks pre-show including ordering supplies and providing admin assistance to both Festivals Coordinators.

On-site you will be supporting the running of several areas including the production office, box offices, crew & artist catering, accommodation, merchandise and car parks. The primary focus is on the administration required for smooth event delivery across both festivals.

The role will be predominantly office based in our Covent Garden head office, with some work on site during the festival season. On-site dates will be 3rd July-16th July (NASS) and 23rd July – 15th August (Boardmasters).

KEY RESPONSIBILITIES

Reporting directly to the Festivals Coordinator on deliverables

Compiling event documentation including agendas, minutes and onsite documentation

Ordering and managing subsistence requirements pre-event and onsite (water, fruit, snacks etc)

Ordering all stationary required for all events

Managing artist merchandise; sorting out requests pre-event and managing sales on site

Creating and managing timelines for delivery of specific tasks

Managing relationships with key suppliers and partners

Working closely onsite with the festival delivery teams to ensure the smooth running of the festivals

On-site set up of all offices

Producing an inventory of event collateral post festivals.

DESIRABLE ATTRIBUTES

Strong organisational skills

Ability to take ownership of tasks from start to eventual completion

Proficient in Microsoft Office (including strong Excel skills)

Ability to keep calm under pressure

Some previous experience working at events or festivals, ideally in the Production Office

Approachable and a confident communicator; both verbally and in writing

Good at problem solving and multi-tasking

Comfortable dealing with complex, difficult and sometimes challenging situations or personalities.

Previous experience in administration and logistics is strongly recommended

‘Can do’ attitude – no task too big or small

Clean UK driving license preferable

Previous use of Marcato Software preferable

First aid training
