The Head of Operations role at Vision Nine leads the Operations department and reports into the Managing Director, requiring department management and commercial awareness as well as in depth practical and technical experience of live events and festivals.

This role has responsibility across all projects and festivals at Vision Nine, ensuring their safe, efficient and cost-effective delivery to an exceptionally high standard.

As a pivotal role within the business, the Head of Operations will facilitate and develop the growth of established and new festivals including their operational and commercial success.

Close working with all other departments (event management, marketing, rights and partnerships, creative, finance, music and new business) is required to ensure projects are executed effectively, on time and on budget.

In order to be successful in this role you will need excellent organisational and project management skills along with a minimum of 5 years’ experience at a senior level. Attention to detail and well-developed communication skills in all forms are also essential as well as commitment and focus under pressure.

The role will be based from Vision Nine’s office in central London but will involve periods on site during events and may include some overseas travel.

Main Purpose of Role: To run and take the lead position on operational elements of the Vision Nine portfolio (currently NASS Festivals, Boardmasters and BBC Music Introducing LIVE) and to work with Senior Management to develop new assets.

Reports To: Managing Director

Dotted Line Report To: Festival Director(s)

Direct Reports: Operations Manager, Junior Operations Manager, Operations Assistant(s) as appropriate, external contractors, freelance staff and volunteers

Key Responsibilities & Accountabilities

Lead the Operations team in delivery of a range of large-scale festivals and events

Be able to work independently and as part of a team in all stages of event operations from planning stages, through to live delivery and debrief

Work to develop the festivals and drive forward strategic direction in terms of quality, efficiency, growth and scale

Develop and maintain excellent relationships with key stakeholders and industry contacts including landowners, local authorities and political landscape, key suppliers and supply chain

Department resource planning and line management, keeping team working consistently, safely and efficiently to maximise output while keeping overheads lean

Develop the operations team including training plans

Produce detailed project schedules for the department and work systematically, reporting progress as required and encouraging the use of processes to streamline and track workloads

Lead production and site design, overseeing all site infrastructure, technical operations, stage management, traffic management and site management

Work to procure under best practice to achieve best value from suppliers and drive efficiency across the business, leading competitive tender processes, establishing and maintaining supplier relationships, forging long term deals to enable accurate future cost forecasting

Management of budgets and regular reporting to Vision Nine CFO and MD

Maximising revenue and cost efficiency, developing new income streams and closely managing cost base

Understanding of revenue streams; ticketing, food & beverage, merchandise, VIP packages, travel etc and contribute to enhance profitability

Development of new business projects including site & venue feasibility, stakeholder contracts, revenue and cost forecasting

Assess feasibility and costs for new business and assist in growth of the portfolio

Provide guidance and share best practice across the portfolio and with other festival partners as appropriate

Maintaining industry wide trend awareness and business impact

Ensure safety standards are met and engender a safety culture throughout the company

Operational risk management including H&S planning, risk assessment, staff briefings and supervision, supplier due diligence, physical event design, crowd dynamics, emergency planning and crisis management

Management of the festival ELT and taking a Silver or Bronze command of a major incident

Commercial risk management including insurance, contracting, compliance e.g. GDPR, licensing and planning applications

Reputational risk management, working with marketing and PR teams on crisis comms, complaint handling and incident response


We will expect you to have a good understanding of the live entertainment world and large-scale festivals. This will help you add value to your role alongside a holistic view of the varying disciplines. Continuous development is encouraged so make sure you stay up to date and well networked.

Key Results Areas

Operations budget as part of overall festival budgets with effective and detailed budget management

EBITDA projection for relevant financial periods set and achieved

Successful feedback on the festivals (indications from key stakeholders such as landowners/venues, local authorities, visitors, talent, key sponsors etc. alongside Vision Nine senior management, festival directors, colleagues and external partners)

Safe and efficient operational delivery of festivals and the delivery of key business initiatives within the festivals e.g. demonstrated supplier negotiation, cost reduction and contribution to content delivery

Organic growth in established festivals through improved experience, creativity, increased revenues and cost controls

A creative and flexible approach to the development of the festivals

High production values and excellent standard of delivery

Quality of staff recruitment, management and retention
